VISITOR CHECK-IN PRIVACY NOTICE
GENERAL
This Privacy Notice applies to Sine Visitor Management tool provided via Sine Group Pty Ltd A.C.N, a wholly owned subsidiary of Honeywell International Inc. (‘Sine’) dedicated to Alphonsa Cashew Industries. Please read this Privacy Notice carefully as it contains important information to help you understand our practices regarding any personal data that you give to us or that we collect otherwise in the context of these Visitor Management services (‘Personal Data’). Alphonsa Cashew Industries. (‘Alphonsa’, ‘we’ or ‘us’) is the controller of the Personal Data collected and processed.
We respect your privacy, and we are committed to keeping your Personal Data secure and managing it in accordance with our legal responsibilities under applicable data protection laws.
CATEGORIES OF PERSONAL DATA AND HOW YOUR PERSONAL DATA IS COLLECTED
When you are an employee of Alphonsa and making use of the Sine services to invite an external visitor, we will process your name, email address and phone number (optional) which we collect via Alphonsa Host Directory. In addition, we will process the contact details of your invitees.
When you are a visitor who receives an invitation from Alphonsa via Sine, we will process your name, email address, phone number (optional), company, date & time of visit and who at Alphonsa you will visit and at which office. In addition we will process your answers to specific questions Alphonsa requires you to complete in relation to your visit, such as Primary Food-Borne Illness and Health Questionnaire, Biosecurity Questionnaire, COVID-19 Questionnaire, Identity Documents in order to comply with regulatory, certification and food safety measures.
PURPOSE FOR WHICH YOUR PERSONAL DATA IS USED
We process your Personal Data for the following purposes:
To provide the Sine services to you, so that you can invite visitors to our offices or that you can visit our offices securely and according to Alphonsa policies and procedures.
To ensure that the Sine Visitor Management Tool functions from a technical point of view.
To maintain contact with you when you have a user account (Alphonsa employees), for example when you experience problems with the Sine Visitor Management Tool.
LEGAL GROUNDS FOR THE PROCESSING OF YOUR PERSONAL DATA
We process Personal Data as it is in our legitimate interest to ensure that Alphonsa can invite visitors and maintain relationships in an effective and secure manner. We only process that amount of Personal Data that is required to provide these services.
HOW WE SHARE YOUR PERSONAL DATA
We may need to share Personal Data with third parties to help us provide services and products to you and to run our service. These third parties are:
Sine Group Pty Ltd A.C.N, a wholly owned subsidiary of Honeywell International Inc., who provides Alphonsa with the Sine Visitor Management Tool;
Service providers where this is needed to provide us with the service of Sine Visitor Management Tool (sub processors of Sine);
These parties may be located in Australia, United States, or elsewhere in the world. We require third parties to use appropriate measures to protect the confidentiality and security of the Personal Data.
Additionally, we may be required to disclose your Personal Data to government authorities, regulatory agencies and law enforcement officials if mandated by law or if required for the protection of our legitimate interests in compliance with applicable laws.
SECURITY OF PERSONAL DATA
We will take appropriate technical, physical and organisational measures to protect the Personal Data collected through Sine Visitor Management Tool from misuse or accidental, unlawful or unauthorised destruction, loss, alteration, disclosure, acquisition or access, that are consistent with applicable privacy and data security laws and regulations.
RETENTION OF YOUR PERSONAL DATA
We retain participants' personal information in the Sine Visitor Management Tool for a maximum of 2 Years whereafter your Personal Data will be automatically deleted. We will retain your Personal Data for as long as legally required or for as long as necessary to provide you with any requested services or for any of the other purposes listed in this Privacy Notice. We will take reasonable steps to destroy or de-identify Personal Data we hold if it is no longer needed for the purposes set out above or after the expiration of the defined retention term.
CHILDREN’S PRIVACY
Sine is not intended for use by individuals under the age of 18 (or the applicable legal age for consuming the products in question). We do not knowingly collect Personal Data from individuals under the age of 18.
YOUR RIGHTS TO ACCESS
You have the right to request an overview of your Personal Data processed by or on behalf of us. You have the right to have your Personal Data rectified, deleted or restricted (as appropriate). You can exercise this right by contacting info@alphonsacashew.com. Please note that requests that do not meet the requirements set out by applicable law or Alphonsa guidelines may be requested to be re-issued or ultimately denied and that certain Personal Data may be exempt from such access, rectification and deletion requests pursuant to applicable data protection laws or other laws and regulations.
YOUR RIGHTS TO OBJECT
You also have a right, in certain circumstances, to require us to stop processing your Personal Data, but where we have compelling legitimate grounds, we will continue processing your Personal Data. Where you have provided consent to our use of your Personal Data, you have the right to withdraw your consent without this effecting the lawfulness of our use of this Data before your withdrawal.
CHANGES
We will keep this Privacy Notice under review and make updates from time to time. Any changes to this Privacy Notice will be communicated to you.
